This policy explains which personal data samoEKO processes, for what purpose and on what legal basis.

Account
For an account we process the email address, the password (solely as a cryptographic hash), name, phone number and (where provided) the on-call number, as well as role and activation status.
Agency accreditation
To activate an account we process the affiliation to an agency and the documents submitted to prove its accreditation.
Purposes
The data serve sign-in, verification of access rights and reachability during an incident. The subject matter of the platform (thermal anomalies, burnt areas, danger indices and sensor readings) consists of environmental and geospatial data without any personal reference.
Legal bases
Processing takes place to perform the usage relationship (Art. 6(1)(b) GDPR) and to pursue the legitimate interest in access restricted to accredited bodies (Art. 6(1)(f) GDPR).
Hosting
The platform runs on servers of Hetzner Online GmbH in Germany. Access generates server log data (IP address, time, requested address); it serves operational security and is deleted after a short period.
Audience measurement
We count visits to the public pages with Plausible Analytics to see how many people use the platform and which features are in demand. Plausible runs on our own server at Hetzner Online GmbH in Germany, and the data is not passed on to anyone. No cookies are set and no user profiles are created. We record the page visited, the page you came from, country and region, device type, browser and operating system, and individual steps such as choosing a measuring location. Your IP address is not stored. Together with the browser identifier it only feeds into a daily value that expires after 24 hours; after that, no visit can be linked to a person. If you share your location to find the nearest station, we only note that this option was used, not where you are. The situation centre and the administration behind the sign-in are not measured. The legal basis is our legitimate interest in data-minimal audience measurement (Art. 6(1)(f) GDPR). You can switch the measurement off for this device here.
Advertising
samoEKO currently shows no advertising and passes no data to advertising networks.
Payments and sponsorship
If you support samoEKO by bank transfer or agree a sponsorship, we process your name, for sponsorships also your address, your bank details, the amount, date and payment reference, and our correspondence with you. This serves our bookkeeping and, for sponsorships, the performance of the contract (Art. 6(1)(b) and (c) GDPR). We keep the records for as long as German tax law requires, currently eight years for accounting vouchers (Section 147 of the German Fiscal Code, AO). We do not publish the names of supporters. Sponsors are named at their station as agreed in the contract. If you write to info@samolabs.de, we use your message only to answer your enquiry (Art. 6(1)(f) GDPR).
Cookies
We only set technically necessary cookies, which require no consent (Section 25(2) no. 2 TDDDG): the sign-in cookie while you are signed in, and the cookie “samowesp-sprache” once you pick a language in the language menu. It holds nothing but the language code, lasts one year and makes sure that you land in your language again the next time you open an address without a language. In addition, the cookie “ffw-theme” once you choose a display (light or dark). As long as you have not chosen a language, the language version follows the language setting of your browser; nothing is stored for that. Audience measurement works without cookies. If you switch it off, your browser remembers that choice in its local storage. No advertising takes place at present. If you choose your place on the air page, your browser keeps only the code of that place (e.g. “kakanj”) in its local storage, not your location; none of this reaches us. If you use your location, it is sent to our server once, only to find the municipality, and is not stored.
Retention
Account data are stored for the duration of the access and deleted afterwards, unless a statutory retention obligation applies.
Your rights
You have the right to access, rectification, erasure, restriction of processing, data portability and objection. Please write to info@samolabs.de. You may also lodge a complaint with a data protection supervisory authority.
